Application review automation
Pre-review applications automatically and route exceptions with context
Velota combines applications, supporting evidence and available master data into one case. Recurring completeness, comparison and plausibility checks run against defined rules; missing information and expert exceptions reach your team with evidence and a clear next action.

One end-to-end case
From incoming application to a reviewable result
Pre-review remains a traceable part of your existing process. Each step records its status, rule and relevant source.
- 01Intake
Applications and messages are assigned to one case.
- 02Evidence
Submitted documents are identified and classified.
- 03Completeness
Expected evidence and required fields are checked.
- 04Comparison
Names, references, amounts and other facts are compared.
- 05Missing items
Required information that cannot be found is marked precisely.
- 06Plausibility
Defined operational and formal rules are applied.
- 07Exception
Borderline cases follow your ownership and escalation logic.
- 08Return
Status, evidence and next action return to the existing workflow.
Fit and boundaries
Automate repeatable pre-checks—not hidden judgement calls
The deciding factor is not whether an application is digital. It is whether part of its review consistently follows the same explainable criteria.
Clear, recurring checks
- Determine required documents and fields
- Compare identities, references and values across sources
- Check deadlines, thresholds and formal conditions
- Classify discrepancies using defined categories
Decisions requiring context or discretion
- Novel or disputed facts without a stable rule
- Exceptions with several defensible outcomes
- Approvals carrying legal or financial accountability
- Cases without sufficient evidence or reliable history
Pilot foundation
Four inputs are enough for a meaningful first test
Example cases
15–30 completed, representative cases—including missing and ambiguous evidence.
Checklist
Your required material, criteria, exceptions and escalation rules.
Expert knowledge
One person who can evaluate results and explain the actual process.
Target handoff
The desired return point to a core system, work queue or responsible team.
Typical checks
Define not only what is checked, but how
Deterministic rules and AI-assisted interpretation remain distinguishable, so users can see which result was calculated and which was derived from document content.
| Check | Method | Output |
|---|---|---|
| Required evidence present? | Fixed document list | Present or missing |
| Document belongs to this application? | Classification plus reference match | Assignment with evidence |
| Facts agree? | Extraction plus deterministic comparison | Match or discrepancy |
| Value within the permitted range? | Versioned expert rule | Pass or rule violation |
| Situation ambiguous? | Defined exception condition | Expert review with reason |
Human control
Ownership is configured—not guessed by AI
The pilot maps your existing roles, queues and escalation rules. Velota reports why a handoff is needed; your process determines which person or function takes over.
Synthetic example
A result ready for further processing
This example uses invented test data. It illustrates a possible handoff structure; it is not a customer result or performance commitment.
Integration and operation
Velota complements your core system instead of replacing it
The pilot can start with exported historical cases and no changes to live systems. If successful, the production handoff is planned separately around your existing channels and operating requirements.
The handoff can include case ID, check status, evidence, rule version and next action. The operating model and continuity requirements are agreed explicitly before production.
Frequently asked questions
What to clarify before a pilot
01Which applications are suitable for automated pre-review?
Recurring application types with similar supporting material, clear required fields, documented checks and sufficient volume are strong candidates. If almost every case needs a new policy decision, automation is usually not the right first step.
02Does Velota make the final expert decision?
No. Velota prepares defined checks and makes discrepancies visible. Judgement calls, disputed facts and approvals you define remain with the responsible experts.
03Must we replace our current case-management system?
No. A pilot can start with exported historical cases. Production results can later return via API, file transfer or a defined work queue.
04What data is required for the pilot?
We need 15–30 representative historical cases, the associated documents, your current checklist and an expert contact. Confidential material is only shared after the transfer and protection model is agreed.
05What will we know after four weeks?
You receive a working evaluation of the agreed cases, measured results per check, documented limitations and a robust recommendation for integration, operation and possible expansion.
